New Trustees
The Chair or Lead Volunteer will need to carry out and record the outcome of the checks in the Trustee’s profile in My Membership.
To see if a volunteer can be a Trustee, you’ll need to check that they’re not on any of the following registers:
If they appear on one or more of these registers, they’re not able to be a Trustee.
These checks have been required since June 2025. Legal requirements can change, so make sure to read the Office of the Scottish Charity Regulator (OSCR) guidance for the latest informationonTrustee eligibility.
Step-by-step: How to record a Trustee Eligibility Check in the membership system
Start by signing in to scouts.org.uk.
On your welcome page:
1. Click ‘My membership’.
On the left-hand side menu (if you’re using a phone, click the menu button on the top right):
2. Click ‘Teams’
3. Click ‘My teams’
On the ‘My teams’ page:
4. Click the ‘team’, that the member is in.
5. Click on the member’s name.

6. Click ‘Role’
On the ‘Current roles’ page:
7. Click Trustee role
On the ‘Approval Audit’ page:
8. Click ‘Record trustee action’
9. Select ‘Member meets all the requirements of a trustee’ from the dropdown menu.
10. Click ‘Submit’
After the Annual General Meeting
It’s good practice to recheck Trustee’s eligibility annually and record the outcome in the minutes of the first Trustee Board meeting.
For example:
On [Date], [Full Name] reported that searches were made of the Individual Insolvency Register, Register of disqualifications, and Register of removed charity Trustees. They checked for all Trustees and confirmed they’re eligible to be Trustees.
